1. Scope and operator
SE Railways MediaPulse (the "Portal") is a restricted media-monitoring and reporting service used by authorized South Eastern Railway administrators. This policy applies only to the Portal. It does not replace privacy notices governing other South Eastern Railway or Indian Railways services.
After signing into the Portal, an administrator may authorize Facebook access and select one Page that South Eastern Railway is authorized to manage. Facebook authorization connects the Page; it does not create a public Portal login. The authorization profile ID, name, granted permissions and accessible Page identifiers are used to verify the connection. Facebook passwords are never received by the Portal.
2. Information we process
Connected Facebook Page information
- Page ID, Page name, username, profile metadata and connection status.
- Posts published by the connected Page, including post ID, message or caption, publication time, permalink, media URL and post type.
- Aggregate performance information made available by Meta, such as reactions, comments count, shares, clicks, reach, impressions and video or media views.
- Technical API responses necessary to troubleshoot synchronization and maintain data accuracy.
Administrator and operational information
- Portal administrator name, email address, authentication records and actions performed in the Portal.
- Encrypted API access credentials, token expiry information and synchronization history.
- Error logs, processing timestamps and security information needed to operate and protect the Portal.
Privacy and deletion requests
If you submit a request through the data-deletion page, we process the contact email, optional name, optional Facebook or Page identifier, request category, request details, tracking reference and resolution status.
3. How we use information
- Synchronize authorized Page posts and available performance metrics.
- Prepare media-performance dashboards, trends, sentiment classifications, themes and operational reports.
- Measure communication reach and engagement and identify content requiring review.
- Maintain account connections, diagnose failures, prevent abuse and secure the Portal.
- Respond to privacy, access, revocation and deletion requests.
- Meet applicable legal, audit and public-record obligations.
We do not sell Facebook data, use it for unrelated advertising, or permit unauthorized parties to use it for independent profiling.
Facebook authorization, comments and audience safeguards
When an administrator authorizes Facebook and chooses a Page, the Portal stores the authorizing profile ID and name, granted permissions, Page identifiers and encrypted access tokens. It imports accessible Page comments and replies, including comment ID, parent comment ID, message, publication date, Like count and author name/ID only where Meta supplies them. Aggregate reaction breakdowns, Page/post/video metrics and available audience breakdowns retain their original reporting period, unit and scope.
Posts and comments start Not reviewed. Positive, Neutral or Negative sentiment is assigned manually by authorized administrators and stored with the reviewer and review timestamp. No gender, age or location is inferred from commenters. Facebook data is not sent to AI sentiment services or used to train AI models.
Initial imports include all API-accessible history. Scheduled updates start daily at midnight Asia/Kolkata, with manual refresh also available. Disconnecting in Facebook Connection removes stored tokens and stops future access; imported records remain subject to the retention and verified-deletion process below.
5. Retention and deletion
- API credentials are retained while the relevant connection is required, then removed or replaced when the connection is discontinued.
- Stored Page posts, metrics and synchronization history are retained for reporting, continuity and audit purposes while operationally necessary.
- Deletion requests and their minimal audit record may be retained to demonstrate that the request was handled.
- Residual copies may remain temporarily in restricted backups until those backups are overwritten under the normal backup cycle.
When a verified deletion request applies and no overriding legal or records-retention requirement exists, we aim to remove the relevant data within 30 days and update the request status.
6. Security
The Portal uses access controls, authenticated administration, encrypted credential storage, request validation and restricted database access. No internet transmission or storage system is completely secure, but reasonable technical and organizational safeguards are maintained for the nature of the information processed.
Administrators must protect their accounts, use approved devices, avoid sharing tokens, and report suspected unauthorized access promptly.
7. Your choices and requests
Depending on your relationship with the Portal and applicable law, you may request information about relevant data, correction, access, revocation of access, or deletion. You may also remove the app from Facebook's Apps and Websites or Business Integrations settings.
Use the User Data Deletion page to submit and track a request. We may need sufficient information to verify the request and locate the relevant data without exposing data to an unauthorized person.
8. Policy changes
This policy may be updated when the Portal, connected APIs, legal requirements or operational practices change. The effective date at the top identifies the current version. Material changes will be communicated through an appropriate administrative channel.
